One fact about one person,
typed into three systems,
against a statutory clock.

A hire, an overtime hour, a dismissal date. Each has to become true in the HRIS, in payroll, and in a filing with a deadline — and today all three are typed by hand.

01 · The problem

Payroll does not fail because the arithmetic is hard.

It fails because the inputs arrive late, in eleven different spreadsheets, from managers who have their own week. Everything downstream of that — the pay run, the ΑΠΔ, the payslip queries — inherits the delay.

02 · The work

What the week is actually made of.

  • Reconciling digital work card events against the working-time organization declared in ΕΡΓΑΝΗ — every missed clock-out, every unplanned swap — and finding a written reason before the window closes.
  • Chasing variable pay inputs before the cut-off: approved overtime, unsocial-hours premiums, unpaid leave, mid-month starters and leavers — each department in its own spreadsheet layout.
  • Typing the lifecycle forms a second time — Ε3, Ε4, Ε5, Ε6, Ε7, Ε11 — after the same data already exists in the HRIS under a different identifier and a different date format.
  • Sick notes arriving as phone photographs, carrying a diagnosis on the same page as the dates, into a mailbox half the department can read.
  • Fixed-term renewals tracked in a colour-coded sheet, where a missed date converts the contract to indefinite by operation of law.
  • Role-critical credentials — nursing licences, ADR and forklift cards, occupational health examinations — tracked in a sheet the rostering tool has never seen.

03 · What we build

What the work looks like here.

  1. A-001 Workflow automation The lifecycle filed once, from the approved event, with the acknowledgement stored against the person it belongs to. lead time 2–6 weeks
  2. B-002 Custom AI agents The questions answered twice a week — leave balances, certificates, what the agreement actually says — answered from your own documents, in Greek and in English. lead time 3–8 weeks
  3. C-003 Bespoke integrations HRIS, payroll and rostering agreeing on one identifier, so that a person is one person. lead time 1–4 weeks

04 · Where it stops

Where it stops.

  • Dismissal, disciplinary action, and anything that ends an employment relationship. Prepared for review, never filed on its own.
  • The diagnosis on a sick note. The system reads the dates and never the reason.
  • Any judgement about a named individual — progression, pay, suitability. A machine may assemble the file. It does not form the view.

05 · Governance

Article 9 data, a works council, and a filing that carries a person’s name.

Health data, union membership and criminal-record extracts all pass through this department, and a monitoring capability has to be agreed before it is installed rather than after. That consultation belongs inside the discovery sprint, not after the build. Special-category data stays out of general-purpose mailboxes and out of any prompt that does not strictly need it.
